How printed invoice books work

NCR stands for no carbon required. Each sheet has a coating, so the pressure of a biro on the top page shows up on every page underneath. No carbon paper sliding about, no smudged fingers. You fill in the job once, tear off the top copy for the customer, and the rest stays with you. That is why printed invoice books still live in so many glove boxes, even when the accounts are done on a laptop later.

They are not only for invoices. The same sets do quotes, receipts, delivery notes, job sheets, order forms and collection slips. If you write it by hand and more than one person needs a copy, it belongs on NCR.

Books, pads or loose sets?

  • You want every copy numbered and kept together: NCR Invoice Books. Bound books of 50 numbered sets, so nothing goes missing and you can see at a glance which invoice came next.
  • You want something to tear from on a counter or in the cab: NCR Pads, glued pads of 50 sets.
  • You post forms out or file them loose: NCR Sets, from 50 up to 5,000, in A6 (105 × 148 mm), DL (99 × 210 mm), A5 (148 × 210 mm) or A4 (210 × 297 mm).

Parts and colours for printed invoice books

The number of parts is the number of copies you get from one go with the pen.

  • 2-part: white and yellow. One for the customer, one for you.
  • 3-part: white, yellow and pink. Adds a copy for the office or the bookkeeper.
  • 4-part: white, yellow, pink and blue. Handy when a site manager or a second department wants one too.

The white top sheet normally goes to the customer, so that is where your logo does most of its work. Print is black only or full colour on the front. Loose sets can also carry black on both sides, or full colour on the front with black on the back, which is where terms and conditions usually go.

Picking a size

A6 is receipt sized and slips into a jacket pocket. A5 is the usual size for printed invoice books and quotes, with room for a few lines of work and a total. A4 gives space for a full job sheet or a delivery note with a list of items. DL is long and thin, and fits a standard envelope without folding. Setting up the artwork

  • Make a print-ready PDF at the finished size with 3 mm bleed.
  • Every part usually carries the same design, so you only need one layout.
  • Leave proper writing space. Big thumbs and cold hands need bigger boxes than you think.
  • Double check your bank details and phone number. They end up on every single set.

What does NCR stand for on an invoice book?

No carbon required. The paper is coated, so pressing on the top sheet copies your writing onto the sheets underneath without any carbon paper. You get two, three or four copies in one go.

How many invoices are in each book?

Each NCR book has 50 numbered sets bound together. Pads hold 50 sets glued at the top. If you prefer loose sets, you can buy anywhere from 50 up to 5,000.

Do I need 2, 3 or 4 parts?

With two parts, white and yellow, the customer keeps the top sheet and the yellow stays in your book. Three parts bring in a pink sheet, handy for whoever does your accounts. Four parts add a blue sheet on top of that.

Which size invoice book suits a window cleaner?

Most people pick A5 for invoices and quotes, as it leaves room for a few lines of work. A6 is pocket sized and handy for quick receipts between jobs. If you want full-page job sheets, the pads and loose sets are also sold in A4.

Can I lay out the invoice book myself on your website?
